- Video conferencing is a set of interactive telecommunication technologies which allow two or more locations to interact via two-way video and audio transmissions.
- Video conferencing can enable individuals in faraway place to have meetings on short notice. Time and money that used to spent on travelling can be used to have short meetings. It can also be used for modern language, cross circular demonstrations (cooking, science, sport etc.), training and staff development, meetings with other school heads, remote learning, virtual field trips and much more.
The hardware or software which is used is called a codec (coder/decoder).Modems, big screens, projectors, webcam, speakers, computer monitor-good graphics card, microphones and internet. The software which are used are Windows Live Messenger, Skype, Yahoo messenger etc.- The social impact of the use of video conferencing are:There is lack of personal interaction, no eye contact. Being self conscious on camera. Some people might not be as effective as in-person communication. Cannot provide the personal aspect that in-person communication brings i.e. personal touch- handshake and professional atmosphere.
- Start by arranging the video conference effectively.
- Send a group email to all those invited with clear details – attach the itinerary of the meeting and any relevant documents or presentations.
- Ask for confirmation on who is attending the meeting and check spellings of names and direct dial phone if neccessary.
- Next, you need to prepare yourself and your surroundings.
- Dress appropriately for the type of meeting and ensure your office or workplace is suitable too.
- If you are video conferencing from home, try to have a plain background, rather than it looking too 'domestic'.
- You will also need to test your system. Call someone you trust, so they can give you feedback on the clarity, volume and professionalism of your surroundings.
- Give yourself time to make changes.
- When the time comes for the actual call, you will know that you are prepared.
- Start by introducing yourself and allow each person attending to inrtoduce themselves.
- Have a freindly openenig chat so that you can still build your relationship with your client - remember any details you have discussed before or mention something from email between you.
- Go over the itinerary if neccassary.
- Speak slowly and clearly, allowing any feedback or delay.
- After all the issuses have been discussed, allow a friendly wrap-up of the meeting encourage attendees to call you if any points need clarification.
